ADMINISTRATIVE ASSISTANT

Full-time - 40 hours

 

Responsibilities:

Administrative support to the Technical Service Manager

  • Support for computerized task management, priority/emergencies listing (Salesforce)
  • Communication with construction/maintenance companies for any repairs
  • Monitoring of services under maintenance contracts.
  • Planning of interventions
  • Possibly MSST training for safety and health at work (Safety Officer)

 

Organization of transport and cafeteria

  • Registration, coding, invoicing, listings, communication with parents and service providers, controls)
  • Reservations of occasional transport
  • Invoice controls
  • Ordering food for events such as class outings, special events (coordination with SV group)

 

Other administrative tasks

  • Management of calendars and reservation of events and meeting rooms
  • Rental of rooms and external invoicing
  • Ensure the opening/closing of buildings and their security (Salto)
  • Monitoring of the implementation of room reservations (coordination with the Technical Service)
  • Support for any other task of the department
  • Support to the assistant of the Campus administrator

 

Personal requirements:

  • Experience in monitoring construction projects.
  • Professional experience in construction/maintenance, at an administrative level.
  • Holder of the title of MSST Safety Officer (Workplace Health and Safety Measure) or training to be expected
  • 3 to 5 years of professional experience in logistics (transport).
  • Excellent computer and software knowledge
  • Fluent French and very good level of written and spoken English (minimum B2)
  • Punctuality, respect for working hours, versatility, good team spirit
