La Grande Boissière (LGB) Campus is located in the centre of Geneva and combines 18th century buildings with state-of-the-art STEM and arts facilities. This bilingual campus (French and English) welcomes nearly 1,900 students in primary, middle and secondary schools. Our unique Universal Learning programme, designed in collaboration with the UNESCO International Bureau of Education, aims to anchor learning in a deep conceptual understanding and assessment of Ecolint global competencies, to ensure that the learning outcome has a positive social impact.

ADMINISTRATIVE AND TECHNICAL ASSISTANT

80 to 100% - 32 to 40 hours

 

The Administrative and Technical Assistant's mission is to support the Technical Manager, the General Services Manager and the Campus Administrator in the management of daily activities. He/She will ensure coordination between the different departments and contribute to the organization and management of ongoing projects.

Responsibilities:

Administrative management:

  • Ensure the reception and processing of telephone calls and emails.
  • Organize and manage the managers' diaries.
  • Prepare, write and classify administrative documents (letters, reports, minutes, etc.).
  • Request for offers and follow-up of orders and invoices.
  • Support in the management of weekly team schedules.
  • Support for the management of computerized tasks, listing of priorities/emergencies (Salesforce).
  • Planning of annual maintenance visits and management of work orders, with follow-up of necessary actions.
  • Organization of transport and cafeteria.
  • Prepare and organize department meetings with managers (logistics, handling of reports, dissemination of information).
  • Organize professional training if necessary.
  • Replace the technical manager in his absence, in order to guarantee a continuous presence and effective monitoring with the various external companies.
  • Support for any other departmental task.

 

Support to projects and construction work:

  • Help with the planning and monitoring of projects in collaboration with managers.
  • Ensure the management of schedules and resources required for projects.

 

Personal requirements:

Technical skills:

  • Administrative management, support in project management.
  • Basic knowledge in the technical field related to the company (e.g. construction, engineering, etc.).
  • Proficiency in office tools (Word, Excel, PowerPoint, etc.) and specific software (e.g. Visio, Autocad, etc.).

 

Organisational skills:

  • Efficient time and priority management.
  • Ability to manage multiple tasks simultaneously and work under pressure.
  • Sense of organization and rigor.

 

Interpersonal skills:

  • Good communication skills in French and English (written and oral).
  • Autonomy and initiative.
  • Sense of service and teamwork.
